Student journey workflows in your campus allow you to automate communication and actions based on member behavior, creating personalized learning experiences that increase engagement and completion rates.
Why This Matters for Your Campus
When you’re managing a campus with multiple members at different stages of their learning journey, manual follow-up becomes impossible. Student journey workflows let you:
- Welcome new campus members automatically with tailored onboarding sequences
- Trigger enrollment communications based on course progress
- Re-engage members who haven’t logged in recently
- Celebrate milestones and course completions
- Segment members based on behavior for targeted support
This means your campus members get timely, relevant communication even when you’re focused on teaching or creating content.
What is a Student Journey Workflow?
A student journey workflow is an automated sequence that triggers when a specific event happens (like a member joining a Study Hall or completing a lesson) and then takes actions based on conditions you set.
Think of it as "if this happens, then do that" logic for your campus.
Key Components
Every student journey workflow has three parts:
Triggers – The starting point. This is the event that launches the workflow.
Examples: Member enrolls in campus, completes a specific lesson, joins a Study Hall
Conditions – The decision points. These check if certain criteria are met before continuing.
Examples: Has the member completed the prerequisite course? Are they tagged as "beginner"?
Actions – What happens next. These are the automated steps your workflow takes.
Examples: Send welcome campus communication, add member status, enroll in next phase
Setting Up Your First Workflow
Navigate to your Campus Dashboard → Student Journeys → Create New Workflow
You’ll see the workflow editor where you can visually build your automation.
Step 1: Choose Your Trigger
Click "Select Trigger" and choose what event will start this workflow. For your first workflow, we recommend:
"Member Enrolls in Campus" – This triggers when someone joins your campus for the first time.
Step 2: Add Your First Action
After the trigger, click the "+" button to add an action. Start with:
"Send Campus Communication" – Draft a welcome message that helps new members know where to start.
Pro tip: Include links to your first Study Hall, your community guidelines, and where to get help.
Step 3: Add a Delay (Optional but Recommended)
Click "+" again and add "Wait" action. Set it to wait 3 days.
Then add another "Send Campus Communication" action with a check-in message asking if they need help getting started.
Step 4: Publish Your Workflow
Click "Save as Draft" first to test it. Once you’re confident, click "Publish" to activate it.
Common Workflow Patterns for Education
Welcome Sequence
- Trigger: Member enrolls
- Action 1: Send welcome communication immediately
- Action 2: Wait 2 days
- Action 3: Send "getting started" tips
- Action 4: Wait 5 days
- Action 5: Check if they’ve engaged, send encouragement
Course Completion Celebration
- Trigger: Member completes specific course
- Action 1: Send congratulations communication
- Action 2: Add "Graduate" member status
- Action 3: Wait 1 day
- Action 4: Send next course recommendation
Re-engagement for Inactive Members
- Trigger: Member hasn’t logged in for 14 days
- Condition: Check if they have incomplete courses
- Action 1: Send "We miss you" communication
- Action 2: Highlight their progress so far
- Action 3: Offer support or easier next step
